SEN Client Administrator

Study Mind provides 1:1 tuition for children and young people with Special Educational Needs. We work closely with local authorities, parents, and tutors to ensure children receive the right support in line with their EHCPs.

We are looking for an SEN Client Administrator to support the day-to-day administration of our SEN tuition provision. This is a fully remote role and would suit someone who is organised, reliable, and comfortable working with sensitive information relating to vulnerable children.

The role

When a child is referred to Study Mind by a local authority, a contract is issued outlining tuition hours, location, and duration. You will help manage the administrative and communication processes that follow, ensuring tuition is set up correctly and monitored throughout.

This role is central to supporting children with SEN, so attention to detail, good communication, and a calm approach are essential.

Responsibilities

• Answer incoming calls from local authorities and pass them to the appropriate account manager
• Triage and organise emails so they reach the correct internal teams
• Act as a link between the recruitment team and account management team
• Carry out administrative tasks, including logging attendance on local authority systems
• Support the creation of Individual Learning Plans for children receiving SEN tuition
• Monitor attendance and raise any concerns promptly
• Manage WhatsApp groups with parents and tutors, ensuring communication remains professional and safeguarding standards are followed
• Send progress updates to local authority caseworkers
• Maintain accurate internal records

About you

You will be working with children with Special Educational Needs and their families, so you should be comfortable handling sensitive situations and working to tight timescales when needed.

You should have:

• Confidence using email, WhatsApp Web, Slack, and similar systems
• Strong written and verbal communication skills
• The ability to process and organise large amounts of information
• Good organisational skills and the ability to multitask
• A calm, professional, and empathetic approach

Previous experience in education or SEND is helpful but not essential. Training will be provided.
