Summary

We are seeking a proactive and personable Administrative Assistant to join our dynamic team in Glasgow. In this role, you will play a key part in supporting day-to-day operations, managing client communications, and ensuring smooth coordination across departments. You’ll often be the first point of contact for our clients — so confidence, clarity, and warmth over the phone are essential.

Responsibilities

• Manage daily office operations and maintain an organised, efficient workspace.
• Handle inbound and outbound calls with professionalism and a friendly, engaging manner.
• Build positive relationships with clients through effective communication and follow-ups.
• Provide administrative support to various departments as required.
• Coordinate correspondence and communication with clients, suppliers, and partners.
• Maintain accurate records, databases, and filing systems.
• Schedule meetings and manage shared calendars.
• Prepare and update reports using Microsoft Office and Google Workspace.
• Respond promptly to customer or client inquiries with accuracy and care.
• Collaborate with internal teams to improve processes and overall efficiency.

Qualifications

• Proven experience as an Administrative Assistant or in a client-facing office role.
• Excellent phone manner with the ability to build rapport and communicate clearly.
• Strong organisational skills and keen attention to detail.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
• Confident multitasker with the ability to prioritise effectively.
• Customer-focused mindset and a positive, can-do attitude.
• Experience with QuickBooks or similar systems is an advantage (but not essential).
• Previous experience in a retail, hospitality, or service-oriented business is a plus.
