Overview
We are seeking a highly organised and detail-oriented Administrative Assistant to join our team. This role is vital in supporting daily office operations, ensuring smooth communication, and maintaining efficient administrative processes. Duties

• Manage incoming calls with professional phone etiquette and direct enquiries appropriately
• Organise and maintain filing systems, both physical and electronic, ensuring easy retrieval of documents
• Perform data entry tasks accurately using Microsoft Office, Google Workspace, and QuickBooks
• Prepare and edit correspondence, reports, and presentations as required
• Schedule appointments, meetings, and coordinate calendars for team members
• Assist with invoicing, billing, and financial record keeping using QuickBooks
• Support team members with administrative tasks such as photocopying, scanning, and mailing documents
• Maintain office supplies inventory and place orders when necessary
• Handle confidential information with discretion and professionalism

Requirements

• Proven office experience or administrative experience is essential
• Strong computer skills including proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar, Docs), and QuickBooks
• Excellent organisational skills with the ability to prioritise tasks effectively
• Good typing speed and data entry skills for accurate record keeping
• Demonstrated ability to communicate professionally via phone and email
• Attention to detail and accuracy in all work performed
• Ability to work independently as well as part of a team in a fast-paced environment
• Previous clerical experience is advantageous but not mandatory; training will be provided for specific software tools
