Transport Admin Assistant job at Brentwood Full Time

Triplex Industrial Contractors, established in 1978, is a growing and dynamic company with an exciting opportunity for a Transport Admin Assistant to join our team.

We operate a fleet of over 100 vehicles, including a wide range of vehicle types and plant equipment. Our operations span across two main depots in Brentwood and Surrey, covering Essex, Hertfordshire, Surrey, East Sussex, and surrounding areas.

Duties and Responsibilities

• Manage and control stock levels of consumables and vehicle parts, ensuring timely reordering
• Conduct regular driver licence checks and report any changes or issues to the Transport Manager
• Liaise with maintenance providers to schedule repairs and obtain updates for all LGVs
• Support vehicle compliance by providing relevant documentation for audits
• Maintain accurate records of service history and HGV inspection documentation (both physical and digital)
• Set reminders for upcoming HGV inspections and ensure timely bookings
• Communicate with operatives regarding:
• Daily walkaround checks
• Breakdowns
• Fuel cards
• General transport-related queries
• Update the fleet list weekly to reflect vehicle additions and disposals
• Monitor fuel stock levels across both depots and order efficiently at competitive prices
• Manage the office key entry system for new and existing staff
• Provide general administrative support to the Transport Manager as required

Skills and Competencies

• Proficient in Microsoft Excel and Word (essential)
• Strong written and verbal communication skills
• Ability to manage and interpret large data sets (preferred but not essential)
• Previous experience in a transport or logistics environment (preferred but not essential)
• Strong interpersonal skills with the ability to work effectively with colleagues and clients
• Valid driver’s licence
• Strong organisational and time management skills
• Ability to resolve issues calmly, fairly, and efficiently
