Job Title: Support Services Administrator
Location: Remote (UK work hours, available for in-person meetings)
Reports To: Management Accountant
Contract: Part-time, permanent (22.5 hours per week)
Salary: £15,750 pro rata (£26,250 FTE)
2buy2 is seeking a Support Services Administrator to provide excellent administrative support to finance, HR and the senior leadership team (SLT). This role will assist the finance team with accurate, high volume finance processing as well as supporting the SLT and HR lead. This role requires excellent organisational skills, good attention to detail and the ability to communicate externally and internally in a professional and respectful manner. A basic accounting understanding would be beneficial but not essential. It would be well suited to someone used to working with senior leaders but also comfortable with routine, process driven work in a busy environment.
Key ResponsibilitiesCash Management
· Enter daily bank transactions into the finance system. Allocate receipts and payments in a timely and accurate manner.
· Perform regular bank/credit card reconciliations.
Purchase Ledger
· Oversee purchase requests and provide a purchase order number
· Entering purchase invoices accurately into Sage for approval, matching to purchase orders and ensuring correct coding
· Assist with supplier statement checks and flag discrepancies to the finance team
· Manage company credit card accounts including posting of expenses
· Assist with cost forecasting where appropriate to give visibility and control over future spend.
Sales Ledger
· Raise customer invoices to send out to customers in a timely manner in accordance with contract, liaising as necessary with other departments to do this.
· Reconcile customer accounts and produce statements of account for distribution
· Chase late/missing payments.
· Respond to queries relating to rebate statements, sales invoices, purchase invoices or any other customer/supplier queries that are finance related in a timely manner and escalate issues as required.
General Ledger
· Post journals as instructed by senior finance staff.
· Ensure accurate nominal and cost centre coding.
· Support month end processes through timely and accurate data entry.
· Complete balance sheet reconciliations for a selection of nominal accounts
· Follow finance procedures, controls and deadlines consistently.
Admin Support for HR, Legal and SLT
· Support SLT members with travel booking as required
· Help embed company values and culture through coordinating seasonal gifts, birthday cards, employee reward scheme etc
· Administer HR web portal
· Coordinate employment performance reviews
· Administration of our legal documents
· Supporting organisation of companywide in-person meetings
· Any other work that may be reasonably requested by the Finance and Legal Director from time to time.
Skills & Experience
· Excellent organisational and procedural skills
· Ability to communicate externally and internally in a professional and respectful manner
· Excellent attention to detail with an ability to spot numerical errors
· Good skills when working with Word, Excel and Outlook
· Willingness to learn and undertake relevant training
· Ability to work with and support other 2buy2 teams
· Part qualified AAT Level 2 or 3 or equivalent desirable
· Knowledge of finance system desirable but not essential.
