Senior Clinic Coordinator
Location: Belsize Park, London NW3
Salary: £32,000 – £36,000 per annum (depending on experience)
Hours: 11-7:30pm with 1 hour lunch. Full-time (including some weekend work)

The Role:
As our Senior Clinic Coordinator, you will be the single point of accountability for the seamless running of our clinic. You are the guardian of our patient journey, the master of our diary, and the trusted partner to our practitioners. Your mission is to ensure that from the first point of contact to the final follow-up, every client feels seen, valued, and impeccably cared for.
This is a role for someone who thinks in terms of outcomes, not just tasks.
Your key responsibilities will include:
•Owning the Patient Journey: Ensuring every client interaction, from initial enquiry to post-treatment care, is flawless, professional, and warm.
•Mastering the Diary: Proactively managing our practitioners’ schedules to optimise bookings, minimise gaps, and resolve complex conflicts with grace.
•Managing Communications: Taking ownership of the clinic’s inbox and social media DMs, providing knowledgeable and timely responses.
•Financial Administration: Overseeing all patient billing, payments, and end-of-day financial reconciliation with meticulous attention to detail.
•Stock & Supplier Management: Taking full responsibility for stock control, ensuring we are always prepared, and managing supplier relationships effectively.
•Clinic Presentation: Upholding the highest standards of presentation throughout the clinic, ensuring the environment always reflects our luxury brand.

The ideal candidate will have:
•A minimum of 3-5 years’ experience in a senior front-of-house or administrative role, ideally within a private medical, high-end dental, or aesthetic clinic setting.
•A deep understanding of what constitutes a luxury client experience.
•A proven ability to solve problems proactively and improve operational processes.
•Exceptional written and verbal communication skills.
•The ability to work with autonomy and be a self-starter who does not need constant direction.
