About Us
We are a small but growing e-commerce business based in North London, selling terrariums, DIY terrarium kits, plants and related products online.
We are looking for an experienced Part-Time Accountant / Senior Finance Support person to join us on an ongoing freelance basis. This is not a basic bookkeeping role. We need someone confident, practical and experienced who can take ownership of our finance records, Xero, payroll, VAT, month-end checks and year-end accounts support.
The right person must have strong hands-on Xero experience and be comfortable working with a high number of e-commerce transactions, payment platforms, invoices, receipts and reconciliations.
Main Duties
– managing bookkeeping and keeping financial records accurate and up to date
– working confidently in Xero on a hands-on basis
– bank, credit card and payment platform reconciliations
– reviewing and improving Xero bank rules where appropriate
– organising invoices, receipts, supplier documents and business expenses
– accounts payable and accounts receivable support
– payroll processing and payroll records
– PAYE, NI and pension-related payroll support
– VAT return preparation and submission, where authorised
– month-end checks and reconciliations
– preparing management reports and financial summaries
– supporting year-end accounts preparation
– assisting with Corporation Tax return information and supporting schedules
– helping with statutory accounts and tax filing support, where appropriately qualified and authorised
– checking for missing invoices, incorrect VAT coding, unreconciled transactions and bookkeeping errors
– helping improve finance processes, document flow and reporting
E-commerce Finance Support
Experience with e-commerce bookkeeping is highly desirable. The role may involve reconciling sales, fees, refunds and payouts from platforms such as:
– Shopify
– Amazon Seller Central
– PayPal
– Stripe
– A2X or similar e-commerce accounting tools
The ideal person will understand that marketplace payouts do not always match sales figures because of fees, refunds, VAT, shipping charges, advertising costs and other adjustments.
Required Experience
– strong hands-on Xero experience – essential
– good understanding of Xero bank rules, reconciliations and VAT coding
– bookkeeping/accounting experience for UK limited companies
– payroll experience
– VAT return experience
– month-end reconciliation experience
– experience preparing records for year-end accounts
– ability to work independently and manage deadlines
– strong attention to detail
– ability to identify problems and explain them clearly
– experience working with small businesses
Required Qualifications / Compliance
The successful person should have suitable experience and/or qualifications to support VAT returns, payroll, month-end and year-end accounts work.
You should also be able to confirm:
– whether you are AML supervised/registered, if applicable
– whether you have professional indemnity insurance
– whether you are VAT registered
– your experience submitting VAT returns for UK limited companies
– your experience supporting or preparing annual accounts and Corporation Tax returns
Bonus Skills
– experience with e-commerce businesses
– experience with Amazon, Shopify, PayPal, Stripe or A2X
– experience with high-volume transaction reconciliation
– experience preparing management accounts
– experience improving Xero setup and finance processes
– experience working with growing owner-managed businesses
Role Details

– some remote work may be possible once systems and processes are established
– day rate depending on experience: £200–£250 per day
What We Are Looking For
We are looking for someone reliable, experienced and detail-focused. The right person should be able to keep our finance records organised, make sure deadlines are met, and help us understand the financial position of the business more clearly.
We need someone who is practical and hands-on, not only advisory. You should be confident working directly in Xero and able to spot issues before they become bigger problems.
