Administration Assistant job at Alloa Full Time NEW

An administrative position has arisen at European Turfgrass Laboratories Ltd, based in Alloa, a busy soil testing laboratory servicing the sportsturf industry. The laboratory provides test data for many prestigious facilities throughout the world, including several Premiership football teams, FIFA tournaments, R&A British Open and European Tour golf venues.

We are looking for a mature individual to fulfil this role. A sound administrative background is required and excellent organisational skills would be of benefit. Good communication and excellent teamwork is essential to this small team. A keen interest in science and sports is advantageous too, but not essential.

The role would involve a daily routine consisting of:

• Managing phone calls, emails and other correspondence
• Effective recording and relaying of all incoming/outgoing messages as required
• Scheduling meetings, client/customer appointments and travel arrangements
• Handling basic book-keeping tasks such as issuing invoices, recording expenses and processing receipts
• Updating and maintaining office records, filing systems and databases
• Ordering office supplies and managing inventory
• Liaising with clients and suppliers
• Creating and maintaining a well-organised, efficient office environment
• Preparing Sampling Kits for Clients, and arranging the courier delivery/collection
• Laboratory data input into database
• Credit control – correspondence with Managing Director and Finance Manager to efficiently manage credit control and management of debtors
• Managing any visitors to The Company, making room reservations and organising refreshments
• Assist in maintaining existing Health & Safety documents & procedures
• Taking minutes at internal meetings as and when required

The position is for approx. 30 hours p/week. Paid overtime out-with the agreed hours may be offered at busy times.
