About Ganes Academy

Ganes Academy is a premium STEM tutoring practice in North London, founded by Dr Lavan Ganeshkumar (PhD, UCL). We support students through GCSE, A-Level, IB, and UK university admissions – Oxbridge, medical school, Imperial. Most of our students are taking maths, further maths, chemistry, biology, or physics.

We are at an interesting point in our growth. After years of one-to-one tutoring, we’re moving towards a group-led model – smaller group sessions of up to 4 students each, running across the week. The teaching quality remains genuinely individual; the structure becomes more sustainable and more accessible to families. We have launched our first set of group sessions and they are working. Now we want to grow them properly.

That’s where this role comes in.

About the role

This is a hybrid role. Half of it is what most people would recognise as operations – making sure the schedule runs, rooms are booked, families are looked after, invoices go out, the business hums along behind the scenes. The other half includes growth work – converting enquiries into signed students, filling our existing group sessions, and helping us launch new ones over the next 12 months.

The role exists because we want to do this transition properly. Filling group sessions takes deliberate effort: thoughtful conversations with prospective families, smart scheduling, careful matching of students to the right groups, follow-through on every inquiry. The founder is also our lead tutor – he can’t do all of this alone, and the next phase of the business depends on getting it right.

You will work directly with the founder, manage the day-to-day rhythm of the practice, and play a meaningful part in shaping how Ganes Academy grows over the next 1 – 2 years. This is not a back-office admin role. The role will be visible to families, trusted with judgement calls, and central to the business growing the way we want it to.

The role starts at 20 hours/week.

Family experience and growth (~12 hours/week)

• Handle inbound enquiries from prospective families promptly and warmly – qualify the fit, recommend the right format (1-to-1, group, intensive), and book consultation call
• Run consultation calls with parents, with full briefing and support – your job is to listen, recommend, and convert
• Onboard new students into groups or 1-to-1 sessions, including paperwork, scheduling, and first-session preparation
• Be the named point of contact for current families for administration: rescheduling, billing, general updates
• Identify opportunities to fill existing group sessions (current students with siblings, friends, schoolmates) and run those conversations
• Maintain a waiting list system so when one group fills, the next one fills naturally

Operations (~6 hours/week)

• Own the master schedule across 1-to-1, group, and intensive sessions
• Manage room bookings, materials, and logistics for sessions including Saturday operations
• Chase outstanding invoices weekly – our system generates and tracks invoices, but families sometimes need follow ups
• Maintain the CRM

Growth tracking and reporting (~2 hours/week)

• Track conversion from enquiry to signed family – report weekly on what’s working
• Track group fill rates and identify which groups need active attention
• Surface retention risks early and run the conversation before it becomes a problem

Who we’re looking for

You will thrive in this role if you are:

• Warm, professional, and persuasive in equal measure. The growth side of this role is sales work, but in a premium service context. The right tone matters as much as the right pitch. You will be the first impression for many families and the steady presence for all of them.
• Organised by nature. You enjoy keeping things tidy. Spreadsheets and calendars are tools you use, not obstacles you tolerate.
• Comfortable making judgement calls. A parent emails about whether their child should be in a group or 1-to-1 – you should be the kind of person who can read the situation, ask the right follow-up questions, and recommend the right path.
• An effective communicator. Most family communication is written. Your emails should be the kind that make people feel looked after.
• Self-directed. This role has structure but is not micromanaged. You should be the kind of person who notices what needs doing and gets on with it.
• Trustworthy. You’ll know things about families’ financial situations, students’ academic struggles, and admissions strategies. Confidentiality is non-negotiable.

Useful background (desirable, not essential)

• Experience in independent/private school admin, EA work, hospitality concierge, family office support, or premium service businesses
• Previous experience with conversion or sales in a relationship-led environment (memberships, premium services, education)
• Familiarity with CRMs, scheduling software, basic invoicing tools

Compensation and structure

We use a two-stage process to make sure both sides make a confident decision.

Stage 1: Paid trial period (3 weeks)

• 20 hours/week at £16/hour
• £960 total over the trial
• Real work on real tasks, not test exercises
• At the end, both sides decide whether to continue

Stage 2: Permanent role (assuming the trial confirms fit)

• £12.50–£16.00/hour (equivalent to £25,000–£32,000 pro rata at full-time equivalent), depending on experience demonstrated
• Performance bonus per signed family who completes their first 90
• Holiday entitlement

• Hybrid working with flexitime
