About the role
We are seeking a friendly, professional, and highly organised Customer Service
Receptionist to manage our front desk and support a range of administrative and
clerical tasks. As the first point of contact for the company, the Receptionist plays a
key role in creating a welcoming and professional environment for visitors and
clients, while ensuring front desk and office operations run smoothly.
This role reports to the Customer Service Supervisor.
Responsibilities and Duties
Front Desk Management
● Greet and welcome visitors in a courteous and professional manner.
● Act as the first point of contact for visitors and callers, ensuring a positive
experience at all times.
● Answer, screen, and forward incoming phone calls appropriately.
● Manage all company visitors, including sign-in procedures in line with health,
safety, fire, and security requirements.
● Provide general information to visitors and assist with enquiries.
● Maintain the cleanliness, organisation, and professional appearance of the
reception area.
Administrative Support
● Confirm visitor appointments and arrange meeting rooms, catering, and car
parking as required.
● Support the Customer Service team with ticket handling and
business-as-usual (BAU) tasks as required.
● Keep the line manager informed of any outstanding or unactioned tasks.
Office Supplies & Inventory Management
● Monitor and maintain office supplies, including stationery, staff room, and
cleaning items.
● Ensure staff room and staff areas are stocked with essential supplies (e.g.
water, milk, tea, coffee, and consumables).
● Ensure designated areas are kept clear and organised.
Collaboration & Performance
● Identify, escalate, and assist in resolving issues affecting service levels,
internal processes, or team efficiency.
● Work collaboratively with all departments to support company objectives.
● Provide constructive feedback to colleagues and department managers
regarding service quality, reputation, and customer experience.
● Attend and actively participate in one-to-one meetings, setting personal
objectives and development goals.
● Complete required training and development activities to maintain
effectiveness within the role.
Professional Standards & Compliance
● Act as a professional and welcoming representative of the company at all
times.
● Ensure the company’s reputation is upheld through professional conduct and
communication.
● Handle sensitive and confidential information in line with data protection and
GDPR requirements.
● Comply with all company policies, procedures, and health and safety
requirements.
Qualifications and Skills
● Previous experience in a receptionist, customer service, or front-facing role.
● Strong communication and interpersonal skills, with effective listening ability.
● Excellent organisational and time management skills.
● Strong attention to detail and problem-solving skills.
● Ability to work independently and as part of a team.
● Professional appearance and confident, courteous manner.
● Ability to handle confidential and sensitive information with discretion.
● Proactive, flexible, and self-motivated approach to work.
● Ability to remain focused and accurate when completing repetitive tasks.
● Basic IT skills and confidence using office systems.
Pay: £13.79 per hour
