We are seeking a reliable and organised bookkeeper and administrator to manage financial operations and provide administrative support to the business. The ideal candidate will have hands on experience using Sage accounting, proficient in Microsoft Software, excellent attention to detail, and the ability to manage multiple tasks efficiently. Must be able to work at own initiative.
This is a key role within our business, working closely with company director to ensure accurate financial management and reporting. You will take responsibility for the day-to-day bookkeeping and financial administration of the business. This is a hands on role suited to someone who enjoys working both independently and in a small team.
Key Responsibilities:
Maintain and update contract files on Sage and internal spreadsheets.
Post purchase invoices to Sage.
Monitor company bank account regularly and post all bank payments and receipts.
Set up and process bank payments as required, including those outside the monthly cheque run.
Manage creditor cheque runs, including reconciliation and posting to Sage.
Compile monthly financial spreadsheets to reflect the company’s financial position.
Prepare, type, print, and issue sales invoices and applications for payment.
Ensure timely distribution of invoices to customers.
Monitor outstanding balances, including retentions, and follow up for payment and release.
Process weekly payroll and monthly salaries.
Complete annual payroll year-end procedures, including archiving payroll records.
Submit monthly CIS return online.
Review monthly P32 & set up payment.
Set up and maintain contract files (digital and paper-based).
Prepare documentation for filing systems.
Type, format, scan, and email tenders as required.
Liaise with customers and suppliers as required.
General administrative support as when and when required.
Person Specification
Essential:
Proven experience in bookkeeping and administration.
Strong working knowledge of Sage.
Good understanding of payroll, CIS, and accounting principles.
Highly organised with strong attention to detail.
Confident using Microsoft Excel and Office applications.
Ability to prioritise workload and meet deadline.
Strong communication and problem-solving skills.
Desirable
AAT qualification.
Experience in construction or contract-based environments.
