Position Summary
The Administrative Assistant provides essential administrative and clerical support to ensure the efficient operation of the office and projects. This role involves handling correspondence, maintaining records, and assisting staff with day-to-day administrative tasks. The ideal candidate is organized, detail-oriented, and able to multitask in a fast-paced environment.
Key Responsibilities
● Answer and direct phone calls, emails, and other communications.
● Maintain filing systems, databases, and office records.
● Order office supplies and manage inventory.
● Greet visitors and provide general support to suppliers and staff.
● Liaise with Suppliers/Contractors and Project Teams to place purchase orders efficiently.
● Completion of Supplier account applications and New Supplier forms/PQQs
● Assist with data entry and basic bookkeeping tasks.
● Help organize and maintain office common areas.
● Perform other administrative duties as assigned.
● Holiday cover as required.
Qualifications
● Proven experience as an administrative assistant, office assistant, or similar role.
● Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
● Excellent written and verbal communication skills.
● Strong organizational and time management abilities.
● Attention to detail and problem-solving skills.
● Ability to handle confidential information with discretion.
● Familiarity with office equipment such as printers, copiers, and scanners.
Preferred Skills
● Basic bookkeeping knowledge.
● Ability to work independently and as part of a team.
